The Executive Assistant is responsible for supporting the needs of the Rohde & Schwarz North America (RSNA) CEO and their Executive Team. The assistant should be located within commuting distance from the RSNA Headquarters in Columbia, Maryland; and should plan to work a hybrid schedule with a minimum of 3 days/week in the Columbia office.

Your tasks

  • Manage complex calendars with multiple time zones and shifting priorities
  • Schedule and reschedule meetings quickly, often coordinating with Munich stakeholders, external partners, or customers
  • Anticipate conflicts and proactively suggest solutions
  • Create / maintain / distribute meeting agendas for exec meetings
  • Prepare leaders for meetings by ensuring they have briefing docs and attendee context
  • Maintain master calendar of executive travel and vacation schedules
  • Act as a “gatekeeper” and prioritize inbound requests for exec call/meeting topics
  • Draft, proofread, and sometimes send communications on behalf of the exec team
  • Assist exec team with preparing meeting materials - refine presentations based on exec input and ask for clarification as needed
  • Ensure timely follow-ups and track action items coming out of executive meetings.
  • Help distill technical or business updates into clear executive summaries
  • Maintain executive communications channels (Workzone, Teams, etc.) with up-to-date information
  • Assist exec team with internal projects – ex: coordinating quarterly/monthly business reviews, strategy scorecard preparation, etc.
  • Maintain dashboards / trackers for execs as requested (often in Excel or similar tools)
  • Coordinate cross-functional initiatives between exec team members
  • Occasionally conduct light research on competitors, markets, or trends to support leadership decision-making
  • Plan and execute exec team events, coordinating with RSNA event planning and office administrators
  • Serve as a cultural ambassador, helping reinforce company values through daily interactions
  • Ensure smooth communication between exec team and staff

Your qualifications

  • Associates degree (A.A.), 5+ years related experience in a corporate setting, or equivalent combination of education and experience
  • Proficient in MS Office tools, especially PowerPoint, Excel, and Teams/SharePoint
  • Ability to learn new software and systems as needed to support Executive Team projects
  • Ability to think, plan, and execute independently on multiple projects simultaneously
  • Must have high degree of integrity to handle sensitive and confidential information
  • Ability to be flexible, motivated, resourceful, and organized
  • Has a strong customer service orientation and looks for opportunities to be proactive with regards to supporting the Executive Team
  • Communicates important information with all team members; reaches out to other team members as needed to fill gaps in information
  • Looks to continuously improve processes and how work is accomplished; takes a proactive approach to completing work tasks
  • Enthusiastically accepts new challenges; quickly responds to issues or inquiries
  • Ability to travel 10% of the time throughout the US

The total compensation for this position is $28-$48 per hour. Total compensation includes base salary, variable pay (when applicable) plus benefits. The range is determined by the position, geographic location and level. Individual pay within the range is determined by several factors including location, education or training, relevant work history, sales incentive structure and job-related skills.
